In brief

What is B2B/EDI integration?

B2B/EDI integration transfers business documents such as orders, delivery notes and invoices from your ERP system to your business partners’ systems, using agreed data structures and secure connection protocols.

The scope of the project does not consist solely of the technical connection. MAP evaluates the scope based on your existing system structure and your business partners’ requirements. To see the concepts in detail, review the What is EDI? guide →

Impact

The Impact of EDI Integration

EDI transfers business documents, from order to invoice, directly between your systems and your trading partners' systems, without re-entering data. Its benefits are not confined to one department; they are felt throughout the process, from purchasing to accounting.

Flow

One dataset, one continuous flow

Orders (ORDERS), despatch advices (DESADV) and invoices (INVOIC) share the same core data. Information in one document is not entered again in the next; once a document is created in your ERP, it is transferred to your trading partner's system.

  2. Despatch advice · DESADV
  3. Invoice · INVOIC
01

Less manual work

The need to key orders received by email or through portals into your ERP decreases. Your team spends its time on exceptions and customers rather than routine data entry.

02

Fewer errors

Because data is transferred directly from the source system, typing and copying errors and missing fields decrease. Each document is validated against the agreed message specification before it is sent.

03

Document status can be tracked

Acknowledgement messages show whether a document was sent, received or rejected. A problem in the order flow is followed up at the stage where it occurs.

04

Less paper, a tidier archive

Documents are created and stored digitally. The need for printing, courier and physical archives decreases, and the document you need is easy to find.

05

New trading partners join the existing setup

No integration is built from scratch for every new buyer or supplier; the partner is set up on the existing EDI connection. MAP's EDI VAN currently serves more than 1,800 trading partners.

06

ISO 27001 certified infrastructure

Documents travel over encrypted protocols such as AS2 and SFTP. MAP has been ISO 27001 certified since 2014, and the infrastructure is audited every year.

07

Meets large buyers' requirements

Retail chains and automotive manufacturers ask their suppliers for documents using EDIFACT, VDA or ODETTE specifications. EDI lets you send and receive documents to these specifications.

Impact

Who gains what?

EDI shows up differently in every team. The same document flow makes each department's work easier from its own side.

01 / 04

Purchasing

Orders are transferred to the partner's system, and confirmations come back through the same channel.

ORDERS
02 / 04

Sales and customer relations

Incoming orders reach the ERP without manual entry, and delivery date information can be shared earlier.

ORDERS
03 / 04

Logistics

The despatch advice reaches the buyer before the goods leave; goods receipt becomes easier.

DESADV
04 / 04

Accounting

The invoice is based on the same data as the order and the despatch advice; reconciliation becomes easier.

Scope Analysis

How is the scope of an EDI project determined?

A sound scope analysis considers not only the name of the system to be connected, but also the end-to-end workflow.

Questions about B2B/EDI integration

What is B2B/EDI integration?

Electronic data interchange (EDI) enables the transfer of intercompany business documents such as orders, delivery notes and invoices between systems using agreed data structures. MAP's B2B/EDI integration, in compliance with the latest standards, integrates with all ERP systems, connecting business partners without the need for additional software.

What is the difference between EDI, API and Web EDI?

EDI is used for regular and standardised intercompany document flows. API is for applications to directly share specific data or transactions. Web EDI enables the business partner to participate in processes through a browser. The hybrid structure brings together partners with different technical capacities in the same ecosystem.

Which EDI standards and connection protocols does MAP support?

EDI standards: EDIFACT, VDA, ODETTE, ANSI, TRADACOMS, TXT, CSV, IDOC and XML. Connection protocols: FTP, SFTP, AS2, Web Servis, OFTP2, OFTP, ENX, ISDN and X400.

Which ERP systems can be integrated with?

Integration can be done with all ERP systems; common examples are SAP, Logo, Mikro and Netsis.

What are the steps in an EDI integration project?

The process proceeds in six steps: determining the scope, clarifying the mapping, designing the test, verifying the connection, going live and managing operations. The scope analysis addresses source and target systems, document and data types, the technical capacity of business partners, mapping and validation, testing, monitoring, error management and operational responsibilities.

What does EDI integration bring to the business?

Digital archiving of documents reduces paper waste, human errors from manual data entry decrease, and planned work becomes sustainable.

How many trading partners does MAP's EDI infrastructure serve?

As the exclusive business and technology partner of OpenText | GXS and Epicor, MAP manages an EDI VAN serving more than 1800 trading partners. Data is securely protected in accordance with ISO 27001 standards.
